How to hire Indian freelancers: a practical guide for US, UK and Australian businesses

A step-by-step guide to hiring freelancers in India: where to start, how to scope, how to evaluate portfolios, and how to work well across time zones.

India is one of the largest sources of freelance talent in the world, and many Indian specialists already work with clients in the US, UK and Australia every day. Hiring well is less about finding the lowest rate and more about scoping clearly and choosing a specialist.

1. Start with the business problem, not the job title

"Need a developer" attracts everyone. "Our Shopify product pages take 6 seconds to load on mobile and we think it's hurting conversions" attracts the right people. Write down what is happening today, why it matters, and what a good outcome looks like.

2. Write a structured brief

A good brief has three parts:

  • The problem — the situation today and its impact.
  • Deliverables — exactly what you expect to receive.
  • Acceptance criteria — how you will decide the work is done, ideally measurable.

Add a realistic budget range and timeline. Ranges help freelancers propose an appropriate scope instead of guessing.

3. Evaluate portfolios, not adjectives

Look for portfolio items that explain the problem, what the freelancer did, and the result. Ask for a short walkthrough of one relevant project on a call. Specific, honest answers ("we cut LCP from 4.1s to 2.3s on product pages by…") are a much better signal than generic claims.

4. Read proposals for understanding

Strong proposals reference your situation, outline a step-by-step approach, and ask one or two sharp questions. Be cautious of copy-pasted proposals that could apply to any job.

5. Start with a small first milestone

A paid discovery or audit milestone lets both sides test the working relationship before committing to a large project.

6. Plan for time zones

India Standard Time is UTC+5:30 all year (no daylight saving). A short daily overlap window is usually enough:

  • UK: India is 4.5 hours ahead during British Summer Time and 5.5 hours ahead in winter, so UK mornings overlap with Indian afternoons.
  • US East Coast: India is 9.5 hours ahead during US daylight time (10.5 in winter). Early US mornings or Indian evenings work well.
  • Australia (Sydney): Sydney is 4.5 hours ahead of India in winter (AEST) and 5.5 hours in summer (AEDT), giving a comfortable working-day overlap.

7. Protect ownership and access

Keep work in accounts you own — your Git repository, your Shopify store, your ad accounts — and give freelancers only the permissions they need. Agree in writing that intellectual property transfers to you when each milestone is paid.

8. Agree how you will pay

Freelancers India does not process payments yet. Agree the payment method (for example bank transfer, Wise or PayPal) and timing per milestone in writing before work starts.
